International Institute Facility Rentals

January 2015, the International Institute moved into its new facility on Arsenal with plenty of meeting spaces. All meeting spaces have wi-fi.

We do not guarantee to fill all requests; so please wait for a confirmation from a staff person. Community use of the International Institute building for non-Institute sponsored functions is a privilege, not a right. We can refuse the use of the facility or property to anyone or any group of individuals without recourse.

Hall of Nations


The Hall of Nations has a seating area that measures approximately 57' x 57' with a carpeted stage in the front that measures 21' x 39'. The room also has a baby grand piano.

Capacities according to setup:
Standing: 200
Chairs only: 100 - 200
Conference Room: 56
Banquet Rounds: 120 (8 chairs per table)

Cost: $200 per hour, two-hour minimum + $50 each additional hour
Special setup arrangements are also available.

 

Gymnasium


The Gymnasium measures approximately 92' x 51'. The gym has its own lobby, entrance and set of restrooms. Other features include bleachers, concession stand with sink and refrigerator, basketball, badminton and volleyball nets. The gym does have a stage, but a wheelchair lift will need to be rented in order to use it.*

Not available for rent from June 1 - Sept. 15. (No air conditioning is available in the gym.)

Standing: 340
Chairs only: 275 - 325
Conference Room: 100
Banquet Rounds (will need to rented for this space): 280 (8 chairs per table)

Cost: $125 per hour, two-hour minimum + $50 each additional hour

* If you use the stage in the gymnasium you must rent a wheelchair lift. It costs approximately $750. You must show a receipt of wheelchair lift rental one week before your event. If Renter uses the stage without having rented a lift, you will be assessed a fine of $1,000. This is a requirement of the St. Louis City ADA compliance code.

 

Conference Room


This 2nd floor conference room measures approximately 50' x 26'. The room has plenty of natural light with windows on 3 sides of the room. It's perfect for those all day meetings where you need space to spread out or space to put your coffee and snacks. Phone lines are also available.

Conference Room: 20

Cost: $75 per hour, two-hour minimum + $50 each additional hour

Board Room


The Board Room is the perfect meeting room with the right amount of elegance. The room has a laptop and projector. Phone lines are also available.

Capacities according to setup:
Conference Room: 16

Cost: $40 per hour, two-hour minimum + $25 each additional hour
Special setup arrangements are also available.

 

Parlor Room


The Parlor Room is an intimate meeting room with hardwood floors and chandlier. Phone lines are also available.

Conference Room: 8-10

Cost: $40 per hour, two-hour minimum + $25 each additional hour

Parking


The Institute’s lot includes approximately 100 parking spaces, some of which may be in use by Institute staff, clients and visitors. Additional unmetered parking is available on the street. Please observe street parking signs and be considerate of our neighbors.

Rental Guidelines


Reserving Your Date

To reserve your date complete and submit this form. Reservations must be made a minimum of six weeks prior to the event date. For our larger space, you may want to reserve six months to one year in advance. Once your reservation is confirmed, you will receive an International Institute of St. Louis Facilities and Services Agreement. A $200 refundable security deposit is required at the time the agreement is signed. (If the signed agreement and payment are not received by the date specified, the reservation will be canceled.)

Payment

Payment of fees associated with room rental, i.e. audio-visual, insurance, and special setup is due upon return of the signed agreement. Checks should be made payable to International Institute of St. Louis. Major credit cards (except American Express) are accepted. Partial payment will be considered for events scheduled a year or more in advance. A credit card number is required to cover charges.

Non-profit organizations will receive a 10% discount on receipt of a valid tax exempt letter.

Cancellations

Events canceled after the deposit/payment has been paid and more than 90 days from the event will be refunded half the amount of the deposit/payment minus the cost of insurance, if applicable. No refund of room fees and services will be given for cancellations less than 90 days prior to the date of the event.

Non-Operating Hours Rental Times

For events that occur during non-operating hours, a $20/hour surcharge will be applied to the rental fee.

Events with Alcohol

Alcohol is allowed on the premises. However, in accordance with city and state ordinances and the International Institute of St. Louis all alcohol, whether purchased or donated must be handled and served by someone who is 25 years or older.

Event Liability Insurance

If we deem event liablility insurance is required for your event, we will let you know prior to signing the contact.

Proper Care and Use of Facilities

It is expected that proper care will be taken of International Institute facilities. Please inform your guests that:

Deliveries

You are responsible for receiving deliveries and should have someone present when deliveries are expected. Institute staff will not accept or be responsible for deliveries. Because storage space is limited; we cannot store equipment or materials for you. You are responsible for rented items and must make arrangements for pickup by vendors immediately following the reception.

Security

If we deem security is required for your event, you will be required to use one of our preapproved security agencies. Keep in mind that as at any public facility, you and your guests should not leave personal items unattended. The Institute takes no responsibility for lost or stolen items.

Animals in the Building

Only guide and support animals are allowed in the building.
