Rent an Event Space

The International Institute of St. Louis’ headquarters campus is located at 3401 Arsenal St. on the Southside of the City of St. Louis slightly to the east of South Grand Blvd. Our campus includes five buildings and off-street parking for approximately 100 cars – all situated on nearly four acres, bounded by Arsenal, Louisiana, and Pestalozzi streets and St. Elizabeth Drive.

Meeting spaces can be rented by outside organizations when not in use by the Institute. All spaces include Wi-Fi capacity.

Requests for rental space will be confirmed in writing. Until then, nothing is guaranteed. We are a large and busy organization. So, rental space between 9 am and 5 pm weekdays, depending on your needs, may be limited.

Community use of the International Institute facilities for non-Institute sponsored functions is a privilege, not a right. We can refuse use to anyone or any group without recourse. Please review the rental guidelines below.

Reserving Your Date

To reserve your date complete and submit this form. Reservations must be made a minimum of six weeks prior to the event date. For our larger space, you may want to reserve six months to one year in advance. Once your reservation is confirmed, you will receive an International Institute of St. Louis Facilities and Services Agreement. A $200 refundable security deposit is required at the time the agreement is signed. (If the signed agreement and payment are not received by the date specified, the reservation will be canceled.)

Non-Operating Hours Rental Times

For events that occur during non-operating hours, a $20/hour surcharge will be applied to the rental fee.

Payment

Payment of fees associated with room rental, i.e. audio-visual, insurance, and special setup is due upon return of the signed agreement. Checks should be made payable to International Institute of St. Louis. Major credit cards (except American Express) are accepted. Partial payment will be considered for events scheduled a year or more in advance. A credit card number is required to cover charges.

Non-profit organizations will receive a 10% discount on rental fee only of a valid tax-exempt letter. (non-operating hours fees are not included in discount)

Events with Alcohol

Alcohol is allowed on the premises. However, in accordance with city and state ordinances and the International Institute of St. Louis all alcohol, whether purchased or donated must be handled and served by someone who is 25 years or older.

Events serving alcohol will require security.

Parking

The Institute’s lot includes approximately 100 parking spaces. During operating hours – parking availability cannot be guaranteed, some of which may be in use by Institute staff, clients and visitors. Additional unmetered parking is available on the street. Please observe street parking signs and be considerate of our neighbors.

Proper Care and Use of Facilities

It is expected that proper care will be taken of International Institute facilities. Please inform your guests that:

  • Smoking is prohibited inside any building.
  • Food and beverages are to remain in designated areas.
  • Guests must restrict their activities and movement to the areas in the building specified in the agreement.
  • After your event, personal belongings should be removed and trash placed in the receptacles provided.
  • No lighted candle can be passed from one person to another.
  • Candles may be used in candelabras provided drip shields or other protective measures are used.
  • Taping items to walls or hanging items from the ceiling is not permitted.

Security Required for events with alcohol and/or schedule after sun-down

If we deem security is required for your event, you will be required to use a licensed security guard (unarmed) or an off-duty police officer. Keep in mind that as at any public facility, you and your guests should not leave personal items unattended. The Institute takes no responsibility for lost or stolen items.

All events serving alcohol or are scheduled after-dark is required to have security.

Cancellations

48-hour cancellation notice is required for full refund of fees. For weekend events, cancellation notice must be received by the Office of the President, no later than 3 p.m. the preceding Friday. Failure to comply with cancellation notice requirements will result in forfeit of the entire RENTAL FEE.

The Institute will not be responsible for any damages or costs resulting from the cancellation of meetings due to the Institute closing for weather or other emergencies. The Institute retains the right to cancel a reservation for a meeting room to accommodate operations. If cancellation is necessary, the Institute will notify the group for whom the room had been reserved. The Institute reserves the right to revoke permission to use any meeting room to any group or organization which violates or refuses to comply with the rules and regulations established for use of the meeting rooms.

Animals in the Building

Only guide and support animals are allowed in the building.
